The PRINCE2 approach to project administration, from beginning to end, is a very well ordered procedure. All factors are taken into consideration in a structured organized state. Each step along the project timeline is managed, deliberated over and analyzed accurately.
Of course, life can always change for various reasons and so things can go wrong, no matter how much planning and research you do. Nonetheless, because of the superb preparation and guided style within a PRINCE2 project, all mistakes or discrepancies can be kept to a minimum. A first-class project manager will have a good, clear grasp of the PRINCE2 method and if they follow the strategy correctly they will be able to keep losses to a minimum.
Roles & Responsibilities –
A PRINCE2 project will only work if all the employees know what they should and shouldn’t be doing, they should have clearly defined roles within the project to be able to pull up and follow at any stage. Obviously each and every project is different so it’s difficult to say who should be doing what, but every project manager should be able to clearly define each employee’s role within the project.
The project manager is employed to write up a project plan, choose which employees should be involved in each role and make sure the whole project is completed on time and to the quality and standard that the client has requested. A tight administrative team is essential as messages passed around from person to person need to be clear, precise and received in good time. In projects with more than a few people, the administrative team need to be consistently on the ball, all under the watchful eyes of the project manager.
Clients need to be told about the simple parts of a project, normally they don’t think they are very important, but really it’s the opposite of that! They are the client and they know what they want, you need to mould a project together to ensure that the right product is produced and ready for them to use once completed. Obviously during the project you will need to keep the client up to date on whether there are any changes in budget, amount of time the project may take and any major alterations that need to be made with the product, whether it’s good or bad. This can build a great relationship with you and the client and could lead on to further developments in the product or more products being managed by you.
It is very important to factor in the technical aspects that the client requires, sample checks should be made throughout the project to make sure that the clients’ specifications are being held to the highest standard. If things change during the project (e.g. the budget increases/ decreases or you are running out of time) you need to have a meeting with the clients to discuss what needs to be changed and how this may/ may not compromise the end product. If it does compromise the product, you need to have steps in place to make up for this. Industry experts may need to test your product so if anything comes up when they are testing it, the project manager will be the first to know as they will need to rectify the problem and make sure everything keeps running smoothly and will be on time and in budget.
